Logic of data refresh in Looker Studio
Updating data in both Looker Studio and Coupler.io can be done manually and automatically.
Looker Studio uses its own schedule for updating data sources connected to the report. It updates data automatically every 12 hrs. For the new data to appear in your report, your Coupler.io data flow used for pulling source data has to be updated (re-run) too.
What happens on the Coupler.io side:
- we fetch data from your data source(s) set up in your data flow >> run the data through Transformations >> prepare a file in the format needed for Looker Studio.
What happens on the Looker Studio side:
- Looker sends a request to that file to Coupler.io via API.
So, data in your Looker Studio report will be updated when:
- You update data pulled with Coupler.io by running your data flow: manually, or automatically on schedule;
- When you manually refresh data in the Looker Studio report;
- When Looker Studio makes a request to Coupler.io to get new data (and it makes it once per 12 hours). At the time the request is made, Coupler.io has to have new data to return (will happen if your data flow uses auto-schedule to update your data, or when you manually run the data flow).
Now, let's review each scenario's setup steps in more detail.
Manual data refresh
- Run your Coupler.io data flow manually.
- Open the Looker Studio report's view/edit page.
Click the 3-dots icon and select the "Refresh data" option:
Note: This refreshes the data for every data source added to the report.
Automatic data refresh
1.Go to the Destination section of your data flow in Coupler.io >> Edit >> Advanced settings. Add a link to your report or the data source on the Looker Studio side:
This will ensure updated data is synced to your existing report.
2.Go to the data flow Settings, and toggle the Automatic data refresh setting on. Select the preferred interval, days, and hours:

Note: On the Looker Studio side, data will be refreshed every 12 hours by default, regardless of the schedule selected in Coupler.io. Yet, your data flow's automatic run must happen before the Looker's automatic update, in order for the new data to be reflected in the report.
